ApprovalMax really has been a seamless transition for us. It just worked. Having that line of sight from two states away is peace of mind for us.
Kellie-headshot
Kellie Holdsworth
Franchisee at G.J. Gardner Homes Adelaide Hills

G.J. Gardner Homes Adelaide Hills builds 20 to 25 new homes a year for families in South Australia. Its team of eight knows every customer by name, and it aims to make building a home a happy experience for each family.

Behind the scenes, every job produces a steady flow of supplier invoices. Until recently, the team approved all of them on paper.

Each invoice was printed and stamped with the names of everyone who might need to approve it. Office costs went to one set of people and site costs went to another. Whoever held the stamp had to remember which supervisor was looking after which job.

"It was a bit of a minefield for the person with the rubber stamp."

For the Adelaide Hills team, the paper process caused these problems:

  • Time spent printing, photocopying and sorting invoices into folders for each supervisor
  • Supervisors saving their approvals for Wednesday, their weekly office day
  • Supervisors approving deliveries from memory, days after they arrived on site
  • The risk of invoices getting lost between desks
  • A growth plan to double the number of homes it builds next year

Kellie Holdsworth wanted to take the office paperless. She had been trying to do this for a while but did not know where to start.

The solution: ApprovalMax as a paperless approval process for every invoice

G.J. Gardner Homes head office runs a monthly call for its franchise owners. On one call, a franchisee asked about going paperless, and the head office team recommended ApprovalMax.

"We have a lot of faith in what the head office shares with us. They have a vested interest in how well we do, and the fact that they gave you a good rap was enough for us to try it."

Kellie set up ApprovalMax alongside Xero after one onboarding session with the ApprovalMax team. The session covered the approval matrix, which is the set of rules that decides who approves each invoice.

The team ran the last paper invoices through the old process while new invoices went into ApprovalMax. Once that cycle finished, there was no more paper in the office.

"It literally took one cycle. From day one we've not had any issues. That doesn't normally happen."

Today every invoice goes through ApprovalMax, whether it’s for printing, the office rent or materials on site. This has given the business these benefits:

1. Supervisors approve invoices on site

Kellie expected the supervisors to keep approving invoices in the office on Wednesdays. Instead, they now approve them on site from their laptops, often while they wait for a trade to arrive.

They can check that a delivery has arrived before they approve the invoice for it.

"They're not trying to remember things. They're doing it there and then when they see it."

Wednesdays in the office are now spent on meetings rather than paperwork.

2. Every invoice goes to the right person

The team member entering an invoice only has to add the job it belongs to. ApprovalMax then sends it to the right approvers.

"Now it's simple. Whoever is entering it only has to enter what job it is, and off it goes. There's no lost paperwork. We know where everything is."

Kellie no longer spends time printing, stamping or deciding whose desk an invoice should land on.

3. A full audit trail for every approval

South Australia has few building regulations to protect home buyers. G.J. Gardner Homes holds its franchises to the standards of Queensland, where the company is based, and those are higher.

ApprovalMax records who approved each invoice and when, and keeps notes against each one. This gives Kellie and her team a clear record of every approval.

"ApprovalMax gives us accountability with our staff and our team. We can see when things are signed off, the audit trails, even notes on each account that's coming through."

4. A quick rollout for the whole team

Kellie expected some resistance to the change. In practice, the team was keen from the start, partly because they liked the idea of going paperless.

"Everyone's a bit nervous until they can see it. It's easy to understand because it is so similar to Xero in the way it looks and feels."

The result

Kellie first looked at ApprovalMax to cut down on paper. She found that it also saved time for her and the supervisors, and made the business more accountable and more accurate.

The business is now recruiting and plans to build twice as many homes next year. Kellie expects the approval process to handle this without extra work, because new staff only need to be added to the approval matrix.

"ApprovalMax is going to allow us to scale up really easily. It's just a matter of putting the names into that matrix and it runs seamlessly."

Kellie and her husband also plan to spend less time in the business day to day. ApprovalMax lets them see every invoice and approval from anywhere, including from another state.

"As a business owner, a business should run without you. Otherwise you've bought yourself a job. Having ApprovalMax running for us in the background gives us peace of mind when we're not in here every day."

How ApprovalMax has helped G.J. Gardner Homes Adelaide Hills

A fully paperless approval process, set up in one invoice cycle

Supervisors approve invoices on site as deliveries arrive

Every invoice goes to the right approvers automatically

A full audit trail for every invoice, with no lost paperwork

An approval process ready for twice as many builds next year

G.J. Gardner Homes Adelaide Hills needed a way to approve a growing number of site and office invoices without paper. ApprovalMax gave the team one place to approve every invoice, from the office or from site.

When Kellie was asked how she would describe ApprovalMax to a friend, she said:

"It's a paperless system that works to keep your accounts in order and in the flow that they should go."
