Do approvers need access to my accounting system?

No. Approvers only need an ApprovalMax login. They review the request and its attachments in ApprovalMax and never require a licence for Xero, QuickBooks Online or NetSuite.

Where is my data stored?

All customer data is processed in Microsoft Azure data centres in Ireland, with backups in the Netherlands. There is no cross-border data transfer.

Can ApprovalMax employees see my data?

Internal procedure prevents employees and administrators from accessing customer data, with limited exceptions for the Customer Support team. All staff sign a non-disclosure and confidentiality agreement.

Can I make two-factor authentication mandatory for everyone?

Yes. An Administrator can enforce it across the organisation, either by prompting users on each page load or by blocking actions until it is set up. Organisations connected to Xero have it enforced as standard.

Does connecting ApprovalMax change anything in our accounting data?

No. Your chart of accounts, contacts and existing records stay as they are. ApprovalMax adds an approval step before a document reaches your ledger.
