Scope Solutions simplifies client tech stacks with ApprovalMax
While Scope Solutions’ clients are from a broad range of industries and business sizes, they all come to the team with the same challenge: needing to optimise. They’re usually doing something that they feel can be done in a much quicker, faster, and more efficient way – but need help with the how.
Scope Solutions was founded in 2012 over a jug of beer between friends with the simple idea of solving technology problems for businesses. Since then, the practice has grown to have a team of more than 40 spread across Malta, Dubai, and Cyprus.
The team has doubled in the past four years as more businesses come to them looking for advice on optimising their technology and processes. Part of this is due to the unique expertise the team has; it hires people from each of the industries it works with to bring in the right mix of expertise.
“The whole notion is our specialists all come from industries we're trying to target. This is because we want to understand our clients rather than just trying to sell them something which we don't understand,” says Sadin Pokharel, Solutions Specialist at Scope Solutions.
Capturing a simpler tech stack
Scope Solutions’ search for new technology led the team to ApprovalMax Capture, ApprovalMax’s built-in OCR tool, as a way to simplify clients’ tech stacks while still adding extra functionality.
Where clients had previously been using other OCR tools, Scope is now introducing them to ApprovalMax Capture to do more with less. When it comes to building a tech stack for clients, the team says they ideally want to do everything from one place – and ApprovalMax Capture allows them to do exactly that.
“We’re showing our clients Capture and they say ‘it’s so much faster! It’s giving us all the line items straight away,” says Pokharel. “Plus the pricing is very competitive.”
This means the team can shift clients to start approval requests from ApprovalMax right away and have Xero be the endpoint for bills only once approved. “It's always nicer for a client to log in to one tool instead of going back and forth – it's a much more seamless, streamlined process.”

With ApprovalMax, Scope’s clients can share the right documents for approval without needing to grant access to sensitive financial data in Xero.
